New Guidance Highlights SharePoint Governance Issues Facing Expanding Businesses

London, UK – 28 May 2026 — As medium-sized organisations continue expanding across locations and departments, many are encountering growing challenges around document control, compliance and information governance within SharePoint and Microsoft 365 environments.

Digital workplace specialist Adepteq has responded to this trend by publishing “SharePoint Best Practices for Medium-Sized Businesses”, a guide exploring how businesses can improve structure, governance and collaboration before operational inconsistencies become embedded.

Many organisations in this category operate without the informal flexibility of small businesses or the formal governance structures of large enterprises. Over time, this often leads to documents and approvals being distributed across disconnected systems including SharePoint sites, Teams channels, email threads and older file repositories. The result can be duplicated information, inefficient workflows and reduced visibility over ownership and compliance responsibilities.

The guide presents a sample scenario involving a UK facilities management provider with over 400 employees operating nationally. During a period of rapid growth, multiple operational issues emerged, including engineers relying on obsolete safety files, finance teams processing approvals across disconnected systems, and HR documentation existing in conflicting formats. Compliance reporting also became increasingly time-consuming. Adepteq explains that the underlying issue was insufficient governance rather than technology limitations. After restructuring its digital workplace around SharePoint, the organisation established consistent templates, automated business processes and a single source of trusted information. The example is illustrative and not presented as a formal case study.

Commenting on the issue, Phil Cave, Technical Director at Adepteq, said: “At this stage of growth, organisations don’t struggle because SharePoint can’t cope. They struggle because it’s been allowed to grow without clear governance or ownership. The rise in search interest reflects a need for practical guidance on how to standardise information flow before inconsistency becomes a risk.”

The guide examines how SharePoint can support medium-sized businesses through centralised governance, structured knowledge management, automated workflows and improved collaboration between hybrid and regional teams within Microsoft 365 environments.

It also outlines several practical recommendations, including implementing governance policies from the outset, designing a clear information architecture, managing permissions consistently and reducing dependence on approval processes handled through email. In addition, the guide cautions businesses against uncontrolled site sprawl and the emergence of unofficial departmental systems.
